Privacy Policy

The short version

LearnLeaf Communities is a place to build and run local community groups of any kind — from parent groups to street or neighbourhood communities — and coordinate meetups, to understand your community's needs and how you can truly support each other. We only collect what's needed to make that work: your account details, your rough location (never your exact address), and the groups/meetups you take part in. We never ask for anything about your children — no child ever has an account, a name, or a date of birth on this platform.

What we collect

• Email address and password, to create and secure your account.
• A display nameyou choose, shown to other members of communities you're part of.
• Your postcode's outcode(e.g. "L20", not your full postcode) and its general area, used to show you nearby communities and venues. We look up your full postcode for a moment to work this out, but we never store it — only the outcode and its rough centre point are kept.
• Community activity: which communities you've joined or requested to join, your role in them, meetup posts and RSVPs (including how many people you say you're bringing), and any venue reviews you leave.
• Content you choose to add, such as a community's cover photo, description, group chat link, or fundraiser link, if you're an organiser.
• Reports you submit, and — if you're an organiser — reports made about your community, so LearnLeaf can review them.

We never collect a child's name, age, date of birth, school, photo, or any other identifying detail. Children never have their own account on LearnLeaf Communities — a parent or guardian attends every meetup alongside their own child.

How we use it

Your information is used to run the platform: showing you communities and venues near you, letting organisers manage their own group, showing your display name and RSVPs to other approved members of communities you share, and reviewing reports or safeguarding concerns. We don't use your data for advertising, and we don't sell it to anyone.

Who can see what

Communities on LearnLeaf are closed groups. Details like a meetup's exact location and time, a group's chat link, and who else is a member are only ever visible to people already approved into that community — not to the general public, and not to other members you haven't joined a group with. A community's name, description, and rough area are visible to anyone browsing the directory only if the organiser has chosen to publicly list it and LearnLeaf has approved it; invite-only communities never appear there at all.

Organisers and co-organisers of a community can see its member list, join requests, and reports made about that community, since moderating the group is their role — the same way an admin of a Facebook Group or Discord server can. LearnLeaf staff can see platform-wide data to investigate reports, safety concerns, or technical issues.

Who processes it

We use third-party providers to run LearnLeaf Communities, each acting as our data processor under a standard hosting/processing relationship:

• Supabase — our database, authentication, and file storage provider.
• Netlify — hosts the website itself.
• MailerSend — sends account emails (e.g. confirming your email address).

We don't share your data with anyone else for their own marketing purposes.

How long we keep it

If you leave a community, or an organiser removes you, that membership record is automatically deleted after 90 days (sooner if you delete your account). Reports are the exception — we keep those for longer, since they're the evidence trail behind past safety and moderation decisions.

You can delete your account at any time from your account settings. This removes your profile and your own activity (memberships, RSVPs, reviews) straight away. Content other people rely on — a community you organised, posts, or venues you added — stays in place so it isn't pulled out from under other members, but is no longer attributed to you personally.

Cookies

LearnLeaf Communities uses one functional cookie to keep you signed in between visits. It's required for the site to work — there's no way to use an account without it — and it isn't used for advertising or tracking you elsewhere. We don't currently use any analytics or marketing cookies.

Children's privacy

LearnLeaf Communities is built around parents organising activities for their children, but the platform itself — accounts, sign-up, posting, messaging — is used by parents and guardians, not by children directly. No child ever holds an account, and we don't knowingly collect personal information about anyone under 18. A community's age-suitability (e.g. "for parents of 4–6 year olds") is written by the organiser as free text describing the group, not information about any individual child.

Your rights

You can access, correct, or delete your information at any time — most of this you can do yourself from your account settings. For anything else, or if you have a question about how your data is handled, get in touch using the details below.
